2. What information we collect

  • Identity and contact details – name, ID number, date of birth, address, phone number and email.
  • Medical aid and billing details – medical aid name, plan and membership number, main member details, and account information.
  • Health information – your medical history, referral letters, assessment results, treatment notes and progress reports. This is “special personal information” under POPIA and is handled with extra care.
  • Employment information – only where relevant, for example for functional capacity evaluations or work rehabilitation.
  • Website information – details you send us through the website or by email, and basic technical data (such as your browser type and pages visited) that helps us keep the site working and secure.

3. Why we use your information

  • To assess, treat and care for you, and to keep proper clinical records as required by the HPCSA.
  • To book and manage appointments and to contact you about your care.
  • To bill you and manage your account, to apply for Prescribed Minimum Benefits (PMB) on your behalf, and to process approved work-related injury claims.
  • To communicate with your referring doctor and other healthcare professionals involved in your care.
  • To meet our legal and regulatory obligations.

We process health information because it is necessary for your treatment by healthcare professionals bound by a duty of confidentiality, as permitted by section 32 of POPIA, or with your consent.

4. Who we share it with

We only share your information when it is needed for your care, for payment, or when the law requires it. This may include your medical aid (for example for PMB applications), our claims partner Compsol (for approved work-related injury claims), your referring doctor and other treating healthcare professionals, and – with your consent – your employer, insurer or legal representative (for example for functional capacity evaluations). We use trusted service providers (such as practice-management, billing and IT providers) who must keep your information confidential and secure. We do not sell your information.

5. How long we keep it

We keep clinical records for as long as the HPCSA guidelines and the law require – generally at least six years after your last visit, and for minors until they turn 21. After that, records are destroyed securely.

6. How we protect it

We use physical, technical and organisational measures to protect your information against loss, misuse and unauthorised access, including access controls, secure systems and staff confidentiality obligations.

7. Your rights

You may ask us to confirm what information we hold about you, to access it, to correct or update it, or to delete it where we are not required to keep it. You may also object to certain processing. To make a request, contact our Information Officer above. If you are unhappy with how we have handled your information, you may lodge a complaint with the Information Regulator (South Africa) at inforegulator.org.za.

8. Our website

Our website uses only the cookies needed to run and secure it, and embedded maps from Google to show our branch locations. Links to social media and other sites are governed by those sites’ own privacy policies.
